Transportation Coordinator

Job Summary 

Responsible for the PACE Transportation program, including but not limited to:  transportation of participants, meals, durable medical equipment, transportation scheduling, oversight, hiring, training and supervision of all drivers including contractors, as well as schedulers.  Oversees vehicle repairs and maintenance.  Provides contractor oversight and identifies quality and cost-effective interventions, while meeting agency goals and departmental budget.


Education and Special Training: High School graduated or equivalent.  Associate or Bachelor’s Degree preferred.

Experience:  At least one year of experience working with aging, frail, elderly and / or disabled and two years of administrative / supervisory experience in a transportation setting. Three years of experience in the transportation industry is preferred.

Licensure, Registry or Certification Required: Valid North Carolina (NC) Driver’s License and safe driving record.  Upon employment, defensive driving course, First Aid and CPR are required.

Knowledge, Skills, and Abilities:

Requires individual who can coordinate multiple tasks simultaneously.  Skilled in establishing and maintaining effective working relationships with participants, families, co-workers and the public. Proficient in identifying and recommending problem resolution. Ability to work independently with minimal supervision. Must have excellent interpersonal skills and be able to work effectively in a team environment. Communicates effectively both orally and in writing.  Only act within the scope of his or her authority to practice. Meet a standardized set of competencies for the specific position description established by PACE of Guilford and Rockingham Counties and approved by Centers for Medicare and Medicaid Services (CMS) before working independently.  Ability to manage a transportation scheduling computer software system. Experience with maintenance and oversight of a fleet of vehicles. Proficient in the use of software systems including Microsoft Office, Outlook and Electronic Medical Records (EMR).

Lift and position patients of all weights and heights utilizing correct body mechanics. Lift and carry pieces of durable medical equipment. Lift and transport at least 50 pounds during the course of providing care, treatment and / or services. Utilize correct body mechanics to transfer, lift and position participants. Read, write and speak in English. Ability to clearly see medical records and various documents. Communicate via telephone. Ability to perform repetitive hand/wrist movements.

Essential Job Functions:

  1. Broadly responsible for establishing and managing a system to meet PACE of Guilford and Rockingham Counties, Inc. transportation needs.
  • Ensure effective daily communication between PACE Center staff, transportation drivers, dispatch and Transportation Coordinator.
  • Ensure the scheduling, coordination, communication of the driver route assignments of PACE of Guilford and Rockingham Counties, Inc. and assures the daily work schedule is clearly communicated.
  • Ensure the scheduling of transportation for all participants’ outside appointments.
  • Monitor use of driver/dispatch overtime, ensure adequate staffing and improve efficiencies.
  • Coordinate and schedule the daily delivery of home delivered meals, DME, supplies and miscellaneous items as requested by the IDT team.
  • Manage and update the participant database.
  1. Recruits and manages a competent team that meets the unique requirements of the PACE “door to door” model of transportation.
  • Supervise the transportation departmental staff. Responsible for departmental hiring, orientation, competency, and training procedures.
  • Ensures responsibility for administration, oversight and maintaining transportation scheduling software program.
  1. Responsible for Managing maintenance, repair and growth of PACE fleet to be in compliance with regulations.
  • Develops and then collaborates with the Executive Director in the annual and capital budget development with respect to transportation and maintains the departmental budget within its allowed and reasonable objectives, as well as meets established budgetary guidelines.
  • Oversees vehicle maintenance program and obtains estimates and authorizes vehicle repairs per departmental policies and procedures.
  • Research new vehicle options and assists in the ordering and purchasing of new vehicles.
  • Ensures that vehicles have up-to-date Department of Motor Vehicle registration forms, license plates and emission stickers.
  • Participates in continuing education classes and any required staff development and training meetings. Maintains professional affiliations and any required certifications.
  1. Creates and maintains a system to ensure driver competency.
  • Ensures cleanliness and proper functioning equipment, as well as safe driving conditions for each vehicle.
  • Ensures that all departmental staff attends and successfully executes required annual driver training courses and participates in mandatory in-service training.
  • Sets clear expectations and assigns appropriate authority to staff members; holds staff accountable for their scope of work and compliance with company policies and procedures.
  • Follows all Policies and Procedures and DMV and OSHA safety guidelines.
  • Maintain the confidentiality of all company procedures and information concerning participants, clients or families.
  • Handles potentially infectious specimens with appropriate biohazard precautions, and practices standard precautions.
  1. Participates as a member of the PACE of Guilford and Rockingham Counties, Inc. interdisciplinary team.
  • Participate as a decision-making member in the interdisciplinary team meetings, communicating participant changes, collaborating on care planning decisions and coordination of 24-hour care delivery.
    • Communicates interdisciplinary team decisions, participant changes, care plan changes, and updated information to transportation staff daily.

 Participates as a member of the PACE of Guilford and Rockingham Counties, Inc. Supervisory team.

  • Participates in planned and unplanned supervisory meetings.
  • Participates in and supports Quality Improvement initiatives.
  • Performs other duties as assigned, required or requested.
